If you need to cancel a reservation

Travel plans change. We will always try to be as fair as possible, but we are a small business- therefore cancellations without a decent amount of notice will adverse our business. If you do need to cancel a reservation, this is our policy:

+ Cancellation is over 30-days away from the arrival date. Deposit refunded in full less a 8% credit card transaction fee.

+  Cancellation between 15 and 30 days from arrival date, 75% of deposit will be refunded.

+  Cancellation between 8 and 14 days of arrival date, 50% of deposit will be refunded.

+  Cancellation less than 7-days of arrival date, no deposit refunded.

We try to be as fair as possible, and we have been known to be lenient with our cancellation policy. If you do need to cancel, please call as soon as possible to discuss.

As fair as we can be.

We understand that you are in Montana, you are on vacation, and you do not own the car that you are renting. However, we are a small business and when people mistreat our cars- it hurts. Anyway, we try to be as fair as possible and we realize that Montana is not all paved roads and rainbows.

We do require all of our renters to sign our standard rental car agreement (see attached). This is a legally binding contract just as you would have to sign with any other rental car company. There is small print, but we are required to use this contract so that you are covered under our insurance policy.

We highly recommend that all of our renters have full coverage (including rental car coverage) on their own auto policy. Most people do, as it usually doesn't cost more than $50 annually- and is well worth it. A simple call to your insurance agent or a look at your policy will confirm. This will act as the Primary if anything happens- which is much less expensive and should include Comprehensive Coverage on the rental car- VERY important as chances are if any accident does happen, it is because you hit a deer, elk, bear, moose, mountain lion, etc.

If you do not have Rental Car Coverage on your personal auto-insurance policy, or do not have rental car coverage on your Travelers Insurance policy if traveling from abroad, we HIGHLY recommend purchasing our offered RCP Insurance (Rental Collision Protection) at our cost of $13 per day. This will cover you if you hit a deer- again, the biggest source of accidents out here.

If you do not have your own rental car coverage, travelers insurance, or RCP and you hit a deer you will be responsible for the full cost of repairs (like regardless of what your credit card company says). So just be aware, and get yourself covered as it is less expensive than buying RCP insurance.

If something does happen we will try to be as fair as possible. We will never try to make money on an accident (or mistake), we just need to protect our assets and to provide a quality product for future renters.

ALL DRIVERS MUST:

+  Be 21+ years old and possess a valid driver's license. No exceptions.

WE DO ALLOW:  

+  Towing with our Suburban Adventure-Mobiles only (surcharge possible depending on weight and what is being towed)

+  Driving on gravel roads (check the small print on other contracts- driving on unpaved roads is prohibited)

+  Drivers less than 25 years old. All drivers must be a minimum of 21 years old and possess a valid driver's license. 

WE DO NOT ALLOW:

+  Off-roading. Something happens to the car in a place you should not be, you will be fully liable.

+  Trips to Mexico (Canada is fine).

As Simple as Possible

At Bozeman Rental Cars we understand your time is valuable, therefore we try to make the rental car process as simple and quick as possible. We complete 90% of our reservations via phone, and we like to do it this way as it allows a chance to speak with you and assist with recommendations to make the most of your Montana trip.

Step 1: Call or send an email with your desired rental dates. We will then provide a quote with the best price we are able to offer for those dates. We are constantly monitoring the cost of the Big Box on airport rental car agencies and will beat their price whenever possible.

Step 2: Provide credit card details (again, we prefer over the phone) for the 15% confirmation deposit. You will receive an email confirmation of your deposit.

Step 3: Provide your flight arrival and departure information so we know when to pick you up at the Bozeman Airport.

Step 4: Enjoy Montana.

Step 5: On your way to Bozeman Airport for your departure flight, stop by the office. A member of our team will then drop you off at the airport. At this time and upon inspection of the vehicle the remaining balance will be charged to your previously provided credit card- unless prior arrangements have been made for a different credit card, debit card, cash or check. You will receive an electronic receipt for the final payment.

That is it, as simple as possible. No paper, and no financial transactions while you are with us.
